Terms of Service
Version 1.0 · Effective 1 October 2026
1. Who we are and what these terms cover
These Terms of Service ("Terms") govern your access to and use of the Lebelo platform at lebelosport.co.za, together with any associated mobile or installable application and all related features and services (the "Services").
The Services are provided by Lebelosport (Pty) Ltd (registration number 2026/504186/07), a private company registered in the Republic of South Africa, with its address at 4 Dexter Road, Northumberland Park, North Riding, Gauteng ("Lebelo", "we", "us" or "our"). "Lebelo" is our trading style; Lebelosport (Pty) Ltd is the contracting entity.
These Terms incorporate, and should be read with:
- our Privacy Policy, which explains how we handle personal information;
- our Acceptable Use Policy, which sets out what may and may not be posted or done on the Services;
- any Club or Organiser Terms that apply where an organisation subscribes to the Services; and
- any Event Entry Terms that apply when you enter a specific event.
Where a more specific set of terms conflicts with these Terms, the more specific terms apply to that subject matter.
1.1 Your agreement
By creating an account, or by accessing or using the Services, you agree to these Terms. If you do not agree, do not use the Services.
If you accept these Terms on behalf of a club, event organiser, association or other organisation, you confirm that you are authorised to bind that organisation, and "you" then refers to both you and that organisation.
Nothing in these Terms limits any right you have under the Consumer Protection Act 68 of 2008, the Electronic Communications and Transactions Act 25 of 2002, or any other law that applies to you and that cannot be excluded by agreement.
2. Definitions

3. Eligibility and accounts
3.1 Age
You must be at least 16 years old to create a Lebelo account.
If you are 16 or 17, you may use the Services only with the consent of a parent or legal guardian. That consent must be given through the guardian consent process in the Services. The parent or guardian who gives it accepts responsibility for your use of the Services and agrees to these Terms both on their own behalf and on yours.
A child under 16 may not hold an account. A parent, legal guardian or club administrator may record a child under 16 as a junior athlete — for club membership, event entry or a licence application — and remains responsible for that record. Where we process information about a child under 16 we do so on the authority of a competent person, as the Protection of Personal Information Act requires. Our Privacy Policy explains how.
We may require verification of age or guardian consent, and may suspend an account where we reasonably believe the age or consent requirements have not been met.
3.2 Your account
To use most of the Services you must create an account. You agree to:
- give accurate, current and complete information about yourself, and keep it up to date;
- create only one personal account, and not share it with anyone else;
- keep your login credentials confidential and take reasonable steps to prevent unauthorised access; and
- tell us promptly at compliance@lebelos.co.za if you become aware of unauthorised access to your account.
You are responsible for activity that takes place under your account, unless that activity results from our failure to take reasonable security measures.
3.3 Club and organiser accounts
A Club or Organiser account is administered by one or more named administrators. The organisation is responsible for who it appoints, for the actions those administrators take, and for removing access promptly when a person's role ends. Administrators may see and manage personal information about the organisation's members; the organisation is separately responsible for handling that information lawfully, as set out in the Operator Agreement between us.
4. The Services
The Services include, depending on your account type and subscription:
- an athlete profile, training log, race history and personal bests;
- route planning and mapping tools;
- club membership, roster, fee-tracking and communication tools;
- event listings, entries, results and certificates;
- leaderboards, scores, challenges and club competitions;
- athletics licence application processing; and
- event compliance and permitting tools (Compliance OS).
We may add, change, suspend or discontinue any feature. Where a change materially reduces a paid feature you are subscribed to, we will give you reasonable advance notice and you may cancel as set out in section 6.
5. Athlete accounts and optional paid features
A Lebelo athlete account is free. Certain optional features are available on a paid basis. Where you take a paid athlete feature:
- the fee, the billing period and what is included are shown to you before you pay;
- you may cancel at any time, and cancellation takes effect at the end of the period you have paid for;
- we do not lock you into a minimum term; and
- if we increase the fee, we will give you reasonable advance notice and you may cancel before the increase takes effect.
Where a club subscribes to a tier that includes paid athlete features for its members, those features are provided to you for as long as your club's subscription includes them and you remain a member.
6. Club and organiser subscriptions
6.1 Fees and tiers
Club subscriptions are charged monthly or annually, at the tier and price shown at the time of subscribing. Tier pricing may depend on the number of members recorded on the club's roster.
6.2 Automatic tier adjustment
Where a club's membership grows past a threshold that changes the applicable price, we will notify the club administrator and ask them to acknowledge the change before it takes effect. We will not silently increase what a club pays.
6.3 Trials
Where a free trial is offered, its duration and what it includes are stated at the time. At the end of a trial, the subscription continues at the applicable fee only if the club has chosen to continue. We will not begin charging without the club's agreement.
6.4 Renewal and cancellation
Subscriptions renew for successive periods unless cancelled. A club may cancel at any time; cancellation takes effect at the end of the current paid period, and there is no early-termination penalty. On cancellation the club retains the ability to export its data for a reasonable period before access ends.
6.5 Non-payment
If a subscription fee is not paid, we may suspend access to paid features after giving notice and a reasonable opportunity to pay. We will not delete a club's data solely because of non-payment without giving notice and an opportunity to export it.
7. Event entries, payments and refunds
Our role when you enter an event. For an event organised by someone else, Lebelo acts as an intermediary. We facilitate your entry and provide tools to the organiser. We are not the organiser, we do not deliver the event, and we do not warrant that it is safe, lawful, permitted or that it will take place. Where Lebelo itself is the organiser, section 7.7 applies instead and we carry the responsibilities of an organiser.
7.1 Who you are contracting with, and our role
When you enter an event organised by someone else, your contract for participation in that event is with the Organiser, not with Lebelo. Lebelo is an intermediary: we provide the platform through which the entry and the payment are made, and we facilitate the transaction between you and the Organiser. The Organiser is responsible for staging the event, for its safety and lawfulness, and for the accuracy of what it publishes about the event.
You authorise us to act as your agent. By completing an entry you authorise Lebelo, acting on your behalf, to submit your entry to the Organiser, to accept the Organiser's event terms on your behalf, and to pay the entry fee to the Organiser. Any money we receive from you for an Organiser is received in that capacity. A binding contract for the event is formed between you and the Organiser once the Organiser accepts your entry. Completing an entry on Lebelo does not by itself guarantee your participation.
Before you pay, we show you who the Organiser is, their registration details, what they are responsible for, and how the amount you are paying is divided. Please read the Organiser's event terms — they govern your participation, including cancellation and refunds.
7.2 Fees, and what we are paid
The entry fee, the Lebelo platform fee and any other charge are shown to you separately before you pay, together with who receives each amount. All amounts are in South African Rand and include value-added tax where applicable.
The Lebelo platform fee is charged for use of the platform in administering the entry, and is earned when that service is provided. We may also receive an administration or transaction fee from an Organiser in respect of entries processed through the platform. Where we do, we will tell you.
7.3 Cancellation, postponement and refunds
Lebelo does not set cancellation or refund terms. The Organiser does.
Every event must publish a cancellation and refund policy before it can sell entries. It is shown to you before you pay and forms part of your contract with the Organiser. That policy must set out what happens if you cancel your own entry, if the Organiser cancels or postpones, and if the event does not proceed because a required permit or approval is not granted.
Lebelo mirrors and applies the Organiser's policy. Where the Organiser offers a refund, so do we. Where the Organiser does not, we cannot grant one on their behalf.
Your rights under the law apply regardless of what an event's policy says. In particular, where you cannot attend because of death or hospitalisation, no cancellation charge may be imposed on you. If that happens, contact us and we will deal with it, whatever the event's stated policy provides.
7.4 Our liability for events organised by others
Because we are not the Organiser and have no control over how an event is organised or run, we are not liable to you for any injury, damage or loss you suffer in taking part in that event, or otherwise in connection with it — including where the Organiser breaches their own event terms.
This does not limit our responsibility for our own breach of these Terms, or for our own failure to use reasonable care and skill in providing the Services, and it does not affect section 18.3.
7.5 Entering on behalf of other people
For some events you may enter other people — family, team-mates or crew members. If you do, you confirm that:
- you have their authority to enter them and to give us their personal information;
- you have given them the event terms and they accept them;
- they agree that we, the Organiser and any timing or ticketing provider may contact them about the event; and
- you take responsibility for their compliance with the event terms.
Where the person you enter is an adult, we will invite them to claim their own account so that they control their own information. Where they are under 18, you must be their parent or legal guardian, or act with that person's authority.
7.6 Entry transfers
An entry may only be transferred to another person where the Organiser permits it and through the process provided in the Services. Selling, trading or informally passing on an entry or a race number is not permitted and may result in disqualification.
7.7 Events organised by Lebelo
Where Lebelo is the Organiser of an event, we are the supplier of that event and sections 7.1 and 7.4 do not apply. Your contract is with us, we are responsible for staging the event, and we carry the obligations of a supplier — including in relation to cancellation and refunds. An event organised by Lebelo is identified as such on its event page.
8. Athletics licence applications
Where you apply for an athletics licence through the Services:
- you are responsible for the accuracy and completeness of the information you supply;
- your club is responsible for verifying your membership and eligibility, where verification by the club is required;
- the relevant Authority decides whether to grant a licence, on what terms, and when. We cannot grant, guarantee, expedite or reinstate a licence, and we do not control an Authority's processing times, requirements or decisions;
- a licence number allocated through the Services is allocated from stock supplied by or on behalf of the Authority, and remains subject to the Authority's rules and reconciliation;
- a digital licence displayed in the Services is a representation of the record we hold. Where it differs from the Authority's record, the Authority's record prevails; and
- you remain responsible for meeting any licence requirement imposed by an event, an Authority or a governing body, including carrying or displaying a licence number where required.
Our responsibility is limited to processing your application accurately and transmitting it as described. We are responsible for our own errors in that processing. We are not responsible for an Authority's decision, delay, error or change of process, nor for a club's failure to verify or submit.
9. Results, verification and integrity
Results may be recorded by you, claimed by you against a published result, supplied by an Organiser or timing provider, or received from a service you connect. Results carry a status showing how they were verified.
You agree that:
- every activity and result associated with your account reflects something you actually did;
- you will not claim another person's result, submit a falsified or manipulated result, or use a vehicle or other assistance to produce a result;
- you will not manipulate data used for leaderboards, scores or club competitions; and
- you will not create additional accounts to gain an advantage in any ranking or competition.
We may correct, re-status, withhold or remove a result, adjust a ranking, or suspend an account where we reasonably believe a result is inaccurate or has been manipulated. Where we take such a step against you, we will tell you and you may ask us to review it. A person, not an automated process, reviews that request.
Scores and rankings, including the Lebelo Score, are enrichment metrics. They are calculated from your own activity and results, they are not a medical, health, coaching or eligibility assessment, and they do not determine your membership, your licence or your eligibility to compete.
10. Your content and the permission you give us
10.1 You keep ownership
You keep ownership of your Content. You confirm that you own it or have the right to post it, and that posting it does not infringe anyone else's rights.
10.2 The permission we need
To operate the Services, you give us a non-exclusive, royalty-free licence to host, store, reproduce, adapt (for formatting and display), publish and distribute your Content, only to the extent needed to provide the Services and in accordance with your privacy settings and our Privacy Policy.
This permission is deliberately narrow. We do not take the right to use your name, image, likeness or Content in advertising or promotional material without asking you separately. Where we would like to feature you or your Content in marketing, we will ask, and you may decline.
The permission ends when you delete the Content or close your account, except where the Content forms part of a shared record that cannot be unpicked without removing other people's contributions — for example a published set of event results, or a thread on a club board. In those cases the Content may remain, dissociated from your profile where practicable.
10.3 Feedback
If you send us suggestions or feedback about the Services, we may use them without obligation or payment to you. We will not treat feedback as confidential unless you tell us it is and we agree in writing.
11. Acceptable use
Our Acceptable Use Policy forms part of these Terms and sets out what is not permitted on the Services. In summary, you may not use the Services to:
- post unlawful, hateful, harassing, threatening, defamatory, sexually explicit or graphically violent content;
- post content that endangers a child in any way;
- post content that promotes or facilitates suicide, self-harm, disordered eating or unsafe training practices;
- share another person's personal information, identity document details or images without their consent;
- impersonate any person, club, organiser or authority, or misrepresent your affiliation;
- falsify results, licences or event information;
- spam, scrape, or place an unreasonable load on our systems, or use automated means to access the Services other than as we permit;
- attempt to gain unauthorised access to any part of the Services, another account, or our infrastructure; or
- use the Services for any unlawful purpose.
11.1 Reporting and take-down
You can report Content that you believe breaks these Terms or the law using the reporting tools in the Services, or by contacting us. We review reports against these Terms and our Acceptable Use Policy and take proportionate action.
Unlawful content. Where you believe Content on the Services is unlawful, you may send us a take-down notification in accordance with section 77 of the Electronic Communications and Transactions Act. Send it to compliance@lebelos.co.za with enough detail to identify the Content, the grounds on which you say it is unlawful, and your contact details and signature. A person who lodges a notification that is materially false or misleading may be liable for damages under that Act.
11.2 Enforcement and appeal
Depending on what has happened, we may remove Content, restrict a feature, issue a warning, suspend an account, or in serious or repeated cases close an account. We will tell the account holder what action we have taken and why, and give them a way to respond. Where an account holder asks us to reconsider, a person reviews the original decision.
12. Compliance OS — event permitting and safety documentation
12.1 What Compliance OS does
Compliance OS assists an Organiser to prepare for an event by:
- presenting checklists of documentation commonly required by a relevant Authority;
- calculating indicative figures such as water points, marshal numbers, medical provision and estimated costs;
- generating draft documents in standard formats from information the Organiser supplies; and
- indicating a readiness score showing how much of a checklist the Organiser has completed.
12.2 What Compliance OS does not do
We do not warrant, and you must not assume, that:
- any Authority will grant a permit, approval, sanction or road closure for your event, on any timetable or at all;
- a checklist is complete or current for your event, your venue, your jurisdiction or your date. Authority requirements change, differ between jurisdictions, and are applied at the discretion of officials;
- a generated document is sufficient, accurate or acceptable to any Authority, or that it satisfies any statutory requirement;
- a calculated figure is adequate for your event. Calculations are indicative estimates derived from general guidance and assumed inputs, and cost figures in particular are estimates that must be confirmed with actual suppliers; or
- a readiness score means your event is safe, lawful or ready. It measures completion of a checklist, nothing more.
Where the Services do not transmit an application to an Authority on your behalf, submitting it remains entirely your responsibility, as is meeting every deadline the Authority sets.
12.3 The Organiser's responsibilities
If you are an Organiser, you remain solely responsible for:
- the safety of everyone at or affected by your event — participants, spectators, staff, volunteers and the public;
- complying with the Safety at Sports and Recreational Events Act 2 of 2010, the Occupational Health and Safety Act 85 of 1993, applicable municipal by-laws, and every other law and condition that applies to your event;
- appointing the competent persons the law requires, including a safety officer, accredited traffic management, medical provision and security, and satisfying yourself as to their competence and accreditation;
- obtaining every permit, approval, licence, sanction and insurance your event requires;
- verifying, before you rely on it, that any figure, checklist item or document produced by Compliance OS is correct, complete and appropriate for your event; and
- the accuracy of everything you enter into the Services and everything you submit to an Authority.
Lebelo is not the safety officer, the event organiser, an accredited traffic management practitioner, a medical provider, a health and safety practitioner, or a professional adviser for your event, and nothing in the Services creates such a relationship. Using Compliance OS does not transfer any statutory duty from you to us, and no statutory duty resting on an Organiser can be transferred by agreement in any event.
12.4 Templates and reference data
Checklists, templates and reference data reflect requirements as we understood them when they were last updated. Authorities change their requirements, and a template covering one municipality may not fit another. Where the Services show a generic or fallback template because we do not hold a specific template for your jurisdiction, this is indicated, and you must confirm the actual requirements directly with the Authority.
12.5 Acknowledgement
By using Compliance OS you acknowledge and agree that:
- Compliance OS is a preparation and record-keeping tool. It is not a permit, an approval, a certification, or professional advice.
- The decision to grant, refuse, delay or withdraw any permit, approval or authorisation rests with the relevant Authority, and not with us. A readiness indicator, checklist, calculation or score in the Services is not a statement that an approval will be granted.
- You remain responsible for the statutory duties that rest on you as Organiser, including the appointment of the competent persons your event requires, safety and medical provision, traffic accommodation, and compliance with every condition attached to an approval. Those duties cannot be transferred to us by agreement.
- You are responsible for the accuracy and completeness of the information you enter, and for verifying an Authority's actual requirements directly with that Authority.
Because this section limits what you can claim from us and asks you to accept responsibility for matters that carry real risk, we draw it specifically to your attention, as section 49 of the Consumer Protection Act requires. The first time an account uses Compliance OS, we ask the user to confirm that they have read and understood this section, and we record that confirmation with the date and time.
13. Location features — use them responsibly
Several features use location information, including route building, activity routes and area groups. Precise location can reveal where you live and work, your routine, and when you are away from home.
Use location features with care, particularly if you hold a sensitive role or position. Where the Services let you keep a route private, or hide or obscure the start and end of an activity, consider using those controls. You accept the risks that come with sharing location information, to the extent the law allows us to say so.
14. Connected services and third parties
You may connect a third-party service, such as a fitness tracking account, to Lebelo. If you do, you authorise us to receive information from it as described in our Privacy Policy. That service is governed by its own terms and privacy policy, not ours, and we are not responsible for it, for its availability, or for its accuracy. You may disconnect at any time.
The Services may contain links to, or information about, third-party products, services or suppliers, including a directory of event suppliers. Listing a supplier is signposting, not a recommendation or endorsement. Any dealing you have with a third party is between you and them.
15. Our intellectual property
The Services, our software, our brand names and logos, and the design and structure of the platform belong to us or our licensors. We grant you a limited, personal, revocable, non-transferable right to use the Services as they are intended to be used. You may not copy, adapt, reverse engineer, resell or create derivative works from the Services, or use our name or logo without our written permission, except where the law allows it.
Aggregated and de-identified information derived from use of the Services belongs to us, provided it cannot reasonably be linked back to any individual.
16. Availability of the Services
We aim to keep the Services available and working, but we do not promise uninterrupted or error-free operation. We may need to suspend the Services for maintenance, upgrades or security, and will give notice where it is practical to do so.
The Services depend on third-party infrastructure and on services such as payment processing, mapping and email delivery. We are not responsible for failures of those services beyond our reasonable control, although we will take reasonable steps to limit the effect on you.
17. Sport is risky — assumption of risk
Running, training and taking part in events carry inherent risks, including injury and, in rare cases, death. Those risks exist whether or not you use Lebelo.
You take part in physical activity at your own risk, and you are responsible for deciding whether you are fit to do so. Information in the Services — including training logs, predictions, scores, route information and suggested workouts — is provided to help you understand your own activity. It is not medical advice and it is not coaching. If you have any health concern, consult a suitably qualified medical practitioner before training or competing.
Where you take part in an event listed on Lebelo but organised by someone else, the Organiser is responsible for the event, its route, its safety arrangements and its medical provision.
18. Our liability
18.1 What we are responsible for
We are responsible for loss you suffer that is a reasonably foreseeable result of our breach of these Terms or our failure to use reasonable care and skill in providing the Services.
18.2 What we are not responsible for
To the extent the law allows, we are not responsible for:
- the acts, omissions, decisions or delays of an Authority, a club, an organiser, a timing provider or any other third party;
- an event that is cancelled, postponed, refused a permit, or that fails to meet your expectations;
- loss arising from your own breach of these Terms, or from information you supplied that was inaccurate or incomplete;
- indirect or consequential loss, or loss of profit, revenue, goodwill or anticipated savings; or
- loss arising from a third-party service you chose to connect or use.
18.3 Limits
Where our liability to you may lawfully be limited, our total liability to you for all claims arising in any twelve-month period is limited to R10 000.
This limit is the maximum in total, not per claim. It does not apply to the liabilities set out immediately below, which are not limited at all.
We draw this limit specifically to your attention, as section 49 of the Consumer Protection Act requires. Section 48 of that Act preserves your right to challenge a term you consider unfair, unreasonable or unjust, and nothing in this section affects that right.
Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud, for gross negligence, or for any other liability that cannot lawfully be excluded or limited. Section 51 of the Consumer Protection Act prohibits certain exclusions, and this section is read subject to it.
19. Your indemnity to us
If a third party brings a claim against us because of something you did — Content you posted, your breach of these Terms or of any law, your event, or your infringement of someone else's rights — you agree to reimburse us for the loss, damages and reasonable legal costs we incur as a result.
This does not apply to the extent the claim arises from our own breach or negligence. We will tell you promptly about any such claim, give you a reasonable opportunity to participate in its defence, and not settle it without your agreement, which you will not withhold unreasonably.
20. Suspension and closing accounts
You may close your account at any time. Closing your account is dealt with in our Privacy Policy, including what is deleted, what is anonymised and what remains.
We may suspend or close your account where:
- you materially breach these Terms or the Acceptable Use Policy;
- we are required to do so by law or by an Authority;
- your account has been used to falsify results or licence information, or to endanger another person; or
- a subscription fee remains unpaid after notice and a reasonable opportunity to pay.
Except where the breach is serious or where we are legally obliged to act immediately, we will give you notice and an opportunity to put things right first. Where we suspend or close your account, we will tell you why, and you may ask us to reconsider.
Sections that by their nature should survive — including sections 12, 15, 17, 18, 19 and 22 — continue to apply after your account is closed.
21. Changes to these Terms
We may change these Terms. Where a change is material, we will give you reasonable advance notice, in the Services or by email, before it takes effect. If you do not accept a change, you may close your account before it takes effect. Continuing to use the Services after a change takes effect means you accept the changed Terms.
Each version of these Terms carries a version number and an effective date, and we keep a record of the version each user accepted.
22. Disputes, governing law and jurisdiction
22.1 Talk to us first
If you have a complaint, please contact us at compliance@lebelos.co.za so that we can try to resolve it. Most issues are resolved quickly this way.
22.2 Your other options
If we cannot resolve your complaint, and you are a consumer, you may refer it to the Consumer Goods and Services Ombud, to the National Consumer Commission, or to a court with jurisdiction. Where the dispute concerns personal information, you may lodge a complaint with the Information Regulator.
We do not require you to give up your right to go to court, and we do not impose compulsory arbitration on you. If both of us agree in writing at the time of a dispute to refer it to arbitration or mediation, we may do so — but that is a choice made then, not something you agree to in advance here.
22.3 Governing law and jurisdiction
These Terms are governed by the law of the Republic of South Africa. Subject to your rights under section 22.2, the courts of South Africa have jurisdiction, and the parties consent to the jurisdiction of the High Court of South Africa, Gauteng Division, Johannesburg.
22.4 Address for legal notices
Our address for the service of legal documents and formal notices (domicilium citandi et executandi) is 4 Dexter Road, Northumberland Park, North Riding, Gauteng. Your address for this purpose is the email address on your account, unless you give us a physical address in writing.
23. General
- Electronic communication. You agree that we may communicate with you electronically, and that electronic communications satisfy any legal requirement for writing, in accordance with the Electronic Communications and Transactions Act.
- Whole agreement. These Terms, with the documents they incorporate, are the whole agreement between us about the Services.
- Severability. If any part of these Terms is found to be unenforceable, the rest continues to apply, and the unenforceable part is to be read down to the minimum extent necessary to make it enforceable.
- No waiver. If we do not enforce a right immediately, we do not give it up.
- Transfer. You may not transfer your rights under these Terms without our written consent. We may transfer ours as part of a sale or reorganisation of our business, provided your rights are not reduced.
- No partnership. Nothing in these Terms creates a partnership, joint venture, employment or agency relationship between us.
- Plain language. We have tried to write these Terms in plain language, as section 22 of the Consumer Protection Act requires. If anything is unclear, ask us and we will explain it.
